We’re Lido, a social media and content agency in Brighton. This policy explains what personal information we collect when you visit our website or work with us, why we collect it, how we look after it and the choices you have. We’ve written it in plain English, because nobody enjoys wading through small print.
Who we are
Lido Social Ltd is the data controller for the personal information covered by this policy. We’re registered in England and Wales under company number 10987654, and our registered office is The Bathing Hut, 28 Marine Parade, Brighton BN2 1TL. Questions about anything on this page can go to hello@lido.example, or by post to the address above. We’ll reply within a few working days.
The information we collect
We only collect what we need to run the agency and look after the people we work with. Depending on how you deal with us, that can include:
your name, job title and the organisation you work for
contact details such as your email address and phone number
anything you tell us in an enquiry, a brief or a job application
billing details and correspondence if you become a client
technical information about your visit, such as your browser and the pages you viewed
We don’t ask for sensitive information, and we’d rather you didn’t send us any.
How we use it
We use your information to:
reply to enquiries and talk to you about working together
plan, deliver and report on the work we do for clients
send invoices and keep proper business records
consider you for a role if you’ve applied to join the team
keep our website running well and understand how people use it
send occasional news about Lido, but only when you’ve said you’d like it
We never sell your personal information, and we don’t use it to make automated decisions about you.
Our lawful basis
Data protection law asks us to have a proper reason for every use of your information. Ours is usually one of these: performing a contract with you, or taking steps before one is signed; our legitimate interests in running and promoting the agency; consent, where you’ve given it; and the legal obligations that come with running a business, such as keeping accounting records. Where we rely on legitimate interests, we’ve checked that they don’t override your own rights.
Who we share it with
A small number of trusted suppliers help us run Lido, including our email and cloud storage providers, our accountants, our website host, and the analytics and advertising platforms we use to deliver client work. Each of them only sees what it needs and is bound by a contract to protect it. We may also share information when the law requires it, or with professional advisers if we ever need their help. We don’t pass your details to anyone else for their own marketing.
Where your information is stored
Most of our systems are based in the UK or the European Economic Area. Where a supplier stores or processes information outside those areas, for example a US-based cloud service, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or standard contractual clauses approved for use in the UK. If you’d like a copy of the safeguards that apply to your information, just ask.
How long we keep it
We keep personal information for as long as we need it for the purpose we collected it, and no longer. As a guide, enquiries are kept for up to two years, client records for six years after the work ends in line with tax and accounting rules, and unsuccessful job applications for six months unless you ask us to keep your details on file. When information is no longer needed, we delete it or anonymise it securely.
Keeping it safe
We take sensible, proportionate steps to protect your information. Our systems are password protected with two-factor authentication, access is limited to the people who need it, and our devices are encrypted. Nothing sent over the internet can be guaranteed completely secure, so if you need to send us something confidential, get in touch first and we’ll agree the safest way to do it.
Your rights
You have a number of rights over your personal information. You can:
ask for a copy of what we hold about you
ask us to correct anything that’s wrong or out of date
ask us to delete your information in certain circumstances
object to, or ask us to restrict, how we use it
ask us to send your information to another organisation
withdraw consent at any time, where consent is what we’re relying on
To use any of these rights, email hello@lido.example. We’ll respond within one month, and we won’t charge you unless a request is clearly excessive.
Marketing from us
If you’ve signed up for news from Lido, or you’re a client who’s told us you’re happy to hear from us, we may email you now and then with things we think you’ll find useful. Every message includes an unsubscribe link, and you can also opt out at any time by replying or emailing hello@lido.example. We’ll stop as soon as we hear from you.
Other websites
Our site links out to social platforms and other websites, and our Instagram feed is pulled in from Instagram itself. We don’t control those sites and this policy doesn’t cover them, so it’s worth checking their own privacy information before you share anything there.
Changes and complaints
We review this policy from time to time and will post any changes on this page. If you’re unhappy with how we’ve handled your information, please tell us first and we’ll do our best to put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection, at ico.org.uk.
